Commissioner’s Office with number ZA663259. The objective of this Privacy Statement is to explain you in simple and transparent manner, what personal data we collect, why and how we protect it. This applies to you if you are:
• A current or previous customer (landlord, investor, tenant, trainee, mentee)
• Contacting us with a query
• Visiting our website

Personal data means any information that identifies or can be linked to natural person for
identification. Personal data we collect about you includes:

• Identification data such as your name, date of birth, gender, passport, or
signature.
• Financial data such as account number, credit card number or any other payment
method you provide us.
• Contact data such as email address, telephone, or mobile number.

In certain cases, like investment or renting a property, we ask you about data like criminal
convictions, passport details. This is to ensure that we provide our clients i.e., buyers and
landlords with people of good track record. The laws consider this as sensitive data and we
collect it to fulfil our obligation to comply with other laws that require us to ensure that the subsequent transaction or investment is fair. For info, sensitive data is any data that is
relating to your health, ethnicity, religious or political beliefs, genetic or biometric data, or
criminal data.
If you are renting through us, we collect personal data of your dependents including
children. However, we do not communicate or contact your dependants.

3. WHAT WE DO WITH YOUR PERSONAL DATA

We use your personal data for following legitimate purposes:

• To validate your identity prior to contractual agreements in line with applicable laws
• To provide you with the service you request in line contract
• To create, send and follow on invoices or payments in line with the contract
• To check if payments due have been received in line with your contract
• To perform creditworthiness in line with laws like Anti Money Laundering
• To ascertain source of your funds in line with laws
• To check your right to rent which is a legal requirement of Prosperity Property North Ltd
• To share relevant offers with you if you have opted for it
• To answer your queries or to contact you for a scheduled appointment or otherwise.
If you are a customer, we do this as part of contract and if you are not yet a
customer, we rely on your request as your consent when you submitted the
information.
• To perform internal management and reporting as per the applicable laws and
industry practices.

4. WHEN AND HOW DO WE COLLECT YOUR DATA?

We collect your personal data when you provide your personal information by visiting our website, meeting us in person, filling a form, signing a contract, calling us, emailing us or messaging us (through any means including social media) with interest in our services. For example, you contact us for your property to be sold via email or you contact us about a property to rent via phone.

5. HOW DO WE STORE AND PROTECT YOUR DATA?
We keep your data safe and protected i.e., we do not disclose this to others unless strictly
necessary for performance and delivery of the service we provide you. And, when data is
with us, the data stays in a password protected computer or software we use.
We keep your personal data for the duration of contract and until the law requires us to do
so. For those who do not have a contract or service from us, we keep your personal data for one year. For those who have a contract or service from us, we keep your personal data for at least six years after end of contract or service.

6. WHO WE SHARE YOUR DATA WITH AND WHY?

As a property company, we rely on providers to provide us with specialized services. When
doing so, we focus on sharing only the necessary data and implement appropriate
safeguards to protect your personal data. For example, we use password protection and
limit access to relevant staff within company. To ensure that we deliver you the services in
effective way, we share your personal data with following categories of third parties:

• Provider of technical and operational support services like website hosting and
maintenance, email provisioning, calendars, payment processing, back-ups,
customer relationship management, electronic signatures of documents etc.
• Credit check agencies, banks, and guarantors to check your creditworthiness as per
applicable laws.
• Landlords and lawyers to ensure that your desired property can be made available to
you.
• Law enforcement agencies and courts when it is necessary to do so, or we are
obliged by laws to share such information.

When we work with companies, we work with reputable brands who respect your privacy
inline with applicable laws. As a company, we do not send your data outside of European
Economic Area (EEA).

7. YOUR DATA PROTECTION RIGHTS

Your privacy is important, and we respect your rights. You have the following rights:

1. Right to access i.e., get an overview of your personal data with us.
2. Right to rectification i.e., get your personal data modified when necessary.
3. Right to erasure i.e., delete your personal data if it is no longer necessary for
purpose of processing. Remember, this is possible only when we do not have legal
reason to keep your personal data.
4. Right to restrict processing i.e., limit processing for specific reasons.
5. Right to object to processing i.e., object to processing when you believe processing
